Appointment Booking
What Is AI Receptionist Appointment Booking?
AI receptionist appointment booking allows a caller to schedule an appointment during a phone conversation without waiting for a staff member to call back. The AI receptionist checks the connected scheduling workflow, offers available times, collects the required booking details, and adds the confirmed appointment to the calendar when the setup supports it.
Rexpt combines call handling and appointment booking so routine scheduling can happen within the same conversation.
How it works
How AI Appointment Booking Works on a Phone Call
Checks Real-Time Availability
Rexpt’s AI receptionist checks availability in your connected calendar or scheduling setup before offering appointment times.
Benefit: Callers hear available times based on your current booking workflow, not a static list of slots.
Applies Your Booking Rules
Rexpt uses your configured business hours, appointment duration, service availability, and other supported booking rules to find suitable times.
Benefit: Suggested slots follow the way your business actually schedules appointments.
Books the Appointment
Once the caller chooses a time, Rexpt collects the required details and creates the appointment in your connected booking workflow.
Benefit: Callers can complete appointment booking during the phone call without waiting for a manual callback.
Confirms the Booking
After the appointment is created, Rexpt follows the confirmation or follow-up actions available in your configured scheduling setup.
Benefit: Your team gets a completed booking with less manual scheduling and follow-up work.
Why it matters
Why Manual Phone Scheduling Creates Extra Work
Appointment calls often arrive while your team is busy
Customers may call while staff are serving clients, working on-site, or handling other tasks. Manual scheduling can require someone to stop what they are doing, check availability, and coordinate a suitable time.
1
Manual scheduling can create calendar conflicts
When appointments are coordinated across calls, notes, or multiple people, it becomes easier to create conflicts or leave avoidable gaps in the schedule. A connected booking workflow keeps scheduling closer to the calendar being used.
2
After-hours callers may have to wait to schedule
If nobody is available to answer, a caller may need to leave a message and wait for a callback before an appointment can be arranged. An AI receptionist can support appointment booking outside normal front-desk availability when the configured workflow allows it.

Common questions
Common Questions About AI Appointment Booking
BOOKING & CALENDARS
Which calendars can Rexpt use for appointment booking?
Rexpt supports calendar integrations for appointment booking, including Google Calendar, Apple Calendar, and more. It connects directly with the calendar and scheduling tools your business already uses, ensuring bookings appear in the same place your team checks today rather than in a separate system.
Can callers reschedule or cancel by phone?
Yes. Rexpt can find an existing booking, move it to another available slot, or cancel it and free the time for someone else.
What stops two callers booking the same slot?
The booking is written to your calendar during the call, and availability is re-checked before it is confirmed, so a slot is taken the moment it is claimed.
Can different services have different appointment lengths?
Yes, where the booking setup supports it. Rexpt uses the duration configured for the selected appointment or service, and offers times that fit the availability in the connected scheduling workflow.
Do callers get a confirmation?
Yes — a confirmation is sent as soon as the booking is made, and reminders can be scheduled ahead of the appointment.
Can a caller ask for a particular member of staff?
A caller can state a preference, and it is captured with the booking. Whether a specific person's availability is used to offer times depends on how the connected scheduling workflow is set up.
